Equipment registers often begin as spreadsheets, paper forms and informal handovers. As more people and items are added, it becomes harder to answer basic operational questions: what equipment exists, who has it, when it should come back and what condition it is in.

From a spreadsheet to a working record
Instead of treating an item as one static row, EquipLoop connects it to the person or team using it and records each handover. A return can capture the latest condition while preserving earlier assignments in the item’s history.
Product model
The public product offers a free plan for up to 10 people and 50 equipment units, including the core QR code, issue, return, condition and history workflow. Paid plans add capacity and capabilities such as bulk import for an existing equipment register.
Technology
EquipLoop is a responsive web application that works in a modern browser across computers, tablets and phones. Its public website is delivered with Next.js. Private backend, data and infrastructure details are not published here.
The result
The result is a live SaaS product that gives small teams a free path away from equipment spreadsheets and gives growing teams a structured upgrade path. No private customer, usage or performance figures are claimed in this case study.
